Writing the job description

Templates for an admin VA, a marketing VA, and the Aussie videographer post that's worked for me on Airtasker.

The job description does two jobs: attract the right people, repel the wrong ones. Keep it short, outcome-focused, and put a filter word at the bottom to test if they read it.

Template 1 — Admin VA (Upwork)

Admin / Executive Assistant

Title: Executive Assistant for Australian Service Business (Inbox, CRM, Calendar)

About you:
You're organised, calm under pressure, and love a clean inbox. You write clearly, follow instructions, and chase things down without being asked twice.

About us:
We're a small but growing service business in Australia. The founder is the bottleneck. We need someone to take admin off their plate so they can focus on clients and growth.

Responsibilities:
- Inbox triage and routine replies using templates
- Calendar management and call confirmations
- CRM upkeep (HubSpot) — log leads, update deals, send follow-ups
- Invoice send-outs and chasing in Xero
- Light document formatting and personal admin
- Roughly 20 hours per week to start, scaling to full-time

Tools you should know:
Gmail/Google Workspace, HubSpot or similar CRM, Xero, Notion, Slack

Bonus if you:
- Have worked with Australian or US service businesses
- Are confident on Loom and async written comms
- Can work 2–3 hours of overlap with Sydney time

To apply:

Template 2 — Marketing VA (Upwork)

Marketing Assistant

Title: Marketing Assistant for Australian Service Business (Editing, Scheduling, Captions)

About you:
You're a tidy editor and a clean writer. You can turn a 30-minute Zoom into a sharp 60-second reel. You match brand voice instead of fighting it.

About us:
We're a service business in Australia with a strong content engine. The founder films and ideates. You'll handle everything from there.

Responsibilities:
- Edit 3–5 short-form videos per week (CapCut)
- Format and schedule carousels and statics (Canva + Metricool)
- Write and polish captions in our voice
- Repurpose long-form content into short pieces
- Manage the content calendar in Notion
- Light weekly performance reporting

Tools you should know:
CapCut or Descript, Canva, Meta Business Suite, Metricool, Notion, Google Drive

Bonus if you:
- Have edited short-form for personal brands or coaches
- Understand storytelling and hook structure
- Can show 3 short-form examples from the last 6 months

Template 3 — Aussie videographer (Airtasker)

Airtasker reads differently — short and scoped. People skim. Don’t write paragraphs.

Brief:
I run a small business and need clean B-roll for social content. Looking for someone with a decent camera and audio kit for a 4-hour shoot.

Deliverables:
- Raw footage on a hard drive or transfer
- Roughly 30 short clips, 5–10 sec each
- Mix of action shots, talking-head, and detail B-roll
- Edited highlight reel optional (extra fee)

Budget: $400–600 for the half-day
